This activity is to review, test, and approve job aids planned and created for the project (e.g., cheat sheets, macros, manual and references, etc.).
Materials are likely distributed online in some form. Feedback from participants may be electronic or conducted in a review session. Ideally, the job aids would be tested with some impacted people for whom the information would be relevant.
If job aids were planned and created for the project (e.g., cheat sheets, macros, manual and references, etc.) the activity is to review, test, and approve those support materials. Job aids are often the simplest way to communicate changes at a practical level at the right time. For some changes, they may even render training unnecessary, while for others job aids are unnecessary. Job aids can be an important part of change management success.
If the project’s solution does specify job aids, they would be released and made available as determined in the training and communications plans. The key elements of this Move are to review the job aids for accuracy, relevance, and efficacy (fitness for purpose). For the most part, review considerations are similar to those for training and/or communication materials. In the event that the job aid content is (part of) a procedure manual or operating guide, the project and change managers need to ensure harmonious release timing.
