This activity is to provide coaches with a(nother) welcome and thanks, to remind them of the importance of the role and why they were selected, and to provide a detailed briefing on their assignment.
There may be one or several contacts depending on how much information is to be shared. While it is generally a good idea to unfold details over time in several meetings, it is important to not overtax these people unnecessarily. That applies both to scheduling an unnecessary abundance of meetings and to one too-long meeting. Do not let others browbeat you into one too-short meeting because everyone is busy and "they get it." First off, we are all busy—it's a normal state of affairs. Second, they really don't. Where two 30- or 60-minute meetings will feel like an imposition but actually help, squeezing everything into a single, short meeting will still feel like an imposition, it will not be effective, So it will be a complete waste of time for everyone.
Engagement is not a one-and-done contact or meeting. Any time the word gets used (in this Playbook anyway) count on multiple, deepening contacts. It's a good perspective generally.
Given that coaches may have been only recently recruited and contacted for that purpose (even brought to a “kick off”), it may seem unnecessary to contact them now. That would be suboptimal.
Even if the group were already assembled to lock them in, there is a value to starting the group along its path sooner rather than later.

This includes being shown the coaching incident report and confirming everyone understands what is important about it and why.
This Move is to shepherd and advise coaches of the general and detailed nature of the coaching program, their role, the training and support to be provided, and expectations. To be fair, it would be appropriate now to provide a clear roadmap and timing for expected delivery of information to them, any coach the coach training, and the expected coaching period. Everyone is busy and the more warning you can provide, the more likely it will be that timelines will be met and coaches will participate more fully.
